CTA Invitational Meet 1 – Event Summary

The CTA Invitational Meet 1 is a competitive swimming gala governed by Swimming South Africa (SSA) and FINA rules. It is open to fully registered swimmers primarily from the Western Cape and other provinces with proper clearance.

Cybersmart Aquatics will be participating on Saturday, 14 June 2025. Entries for eligible swimmers will be submitted by Cybersmart Aquatics coaches.

Key Entry Rules:

  • Scratchings close 9 AM Tuesday, 3 June 2025 — late entries will not be accepted.
  • Swimmer-to-official ratios must be strictly followed (e.g., 1 judge per 4 swimmers).
  • Additional entries after the deadline will be charged triple fees as per federation rules.
  • Swimmers must be fully registered with no overdue invoices.
  • At least one parent per swimmer must be registered as a timekeeper.
  • Clubs must replace officials if parents listed as officials are scratched or absent. If an official doesn’t show up or is improperly clothed, the federation will fine the club; this penalty is passed on to the responsible individual.
  • Invoices will be sent after initial entry reports.

Competition Format:

  • Age groups: 12 & Under (timed finals), 13 & Over plus multi-disability events (timed finals).
  • Swimmers compete only in their age group as of the first day of the gala.
  • Swimmers may enter up to 6 individual events.
  • Qualifying times for long-distance events must be on the WCA database.
  • Disabled swimmers compete alongside able-bodied swimmers, but with separate results.
  • One-start rule applies; heats and sessions may be combined as needed.
  • Only club gear (Cybersmart Aquatics swim caps, T-shirts, tracksuits, towels, etc.) is allowed during warm-ups and races. You can get, buy, replace, or order your gear here: https://shop.cybersmartaquatics.com

Withdrawals and Penalties:

  • Scratchings must be indicated by 9 AM on 02 June (Monday) in the official WhatsApp group to avoid charges. No private messages to coaches or office — all scratchings and withdrawals must be done on the gala WhatsApp group.
  • Withdrawals allowed up to 30 minutes before the meet start without penalty.
  • Late withdrawals or no-shows incur a R150 fine per event and suspension from further events until paid.
  • Medical certificates are required for illness-related scratches.
  • Only coaches or team managers may process withdrawals and scratches.
  • Once invoiced, gala fees are payable regardless of later withdrawals by the due date on the invoice.

Communication and Support:

  • All gala info, entries, and timekeeper details are communicated through the official WhatsApp group.
  • Parents who do not want their child to swim must notify via the group and leave it before invoicing to avoid charges.
  • For questions or issues, contact cybersmartaquatics@icloud.com, but preferably all gala-related issues should be handled via the gala WhatsApp group.
